The Administrative Assistant plays a key role in ensuring smooth daily operations by providing front-desk coverage, administrative assistance, compliance tracking, and logistics support. This full-time position requires a 40-hour work week and includes a range of clerical responsibilities, administrative assistance, recordkeeping tasks, logistics coordination, and inventory management. This position involves offering vital support to the administrative boosting overall performance & maintaining the efficiency of our daily operations. 

The ideal candidate is highly organized, detail-oriented, and capable of juggling multiple responsibilities in a fast-paced environment. Proficiency in Microsoft Office, strong communication skills, and a professional, team-oriented attitude are essential for success in this role.

Responsibilities

Office Support 

·         Serve as the first point of contact for callers. 
·         Cover the front desk duties when the main receptionist is out. 
·         Keep the lobby area clean and well-organized. 
·         Stock and sanitize safety glasses and vests for visitors. 
·         Clean glass entryways and replace label maker labels as needed. 
·         Retrieve and distribute mail and packages. 
·         Alert team members when items are ready for pickup. 
·         Maintain business cards, maps, and postcard supplies. 
·         Update the internal phone extension list. 
 
Administrative & Clerical Tasks 

·         Scan, file, and shred documents appropriately. 
·         Laminate documents and distribute them to the correct mailboxes. 
·         Assist with correspondence, email communication, and document preparation. 
·         Answer and route phone calls. 
·         Maintain organized digital and physical filing systems. 
·         Operate standard office equipment (copiers, scanners, printers, etc.). 
·         Order and maintain office supplies. 
·         Take and distribute meeting notes when required. 
·         Provide general administrative support to the Office Manager and other team members. 
 
SDS & Compliance Management 
 
·         Oversee and keep the Safety Data Sheet (SDS) system and processes up to date. 
·         Request, save, and distribute SDSs to and from suppliers and customers. 
·         Send final SDSs to KHA system. 
·         Maintain and update Loop processes for the PDC and PIT teams processes by serving as the process liaison. 
·         Assist the Safety Department by regularly updating safety handbooks, policies, procedures, and Certificates of Insurance (COIs). 
 
Financial & AP Support 
 
·         Scan and upload AP invoices to the server. 
·         Scan ACH lists and email them to the Accounting Manager. 
·         Prepare checks for mailing by organizing and placing them into envelopes. 
·         Assist with supplier and customer account updates. 
·         Support the AP process under the direction of the Accounting Manager. 
·         Provide assistance with financial responsibilities as needed by the Accounting Manager. 
 
Logistics Administration 
 
·         Input and track vehicle mileage reports. 
·         Handle annual truck and trailer inspections. 
·         Manage monthly IFTA and fuel reports. 
·         Prepare quarterly fuel tax returns. 
·         Provide additional support for logistics operations as required. 
 
Team & Office Coverage 

·         Provide backup coverage for office team members when absent (excluding the HR Department and Accounting Department). 
·         Offer support to the Office Manager by assisting with special projects and any additional responsibilities as needed. 
·         Proactively ask for additional tasks when all responsibilities are completed 
 
Required Skills & Qualifications

·         Proficiency in Microsoft Office Suite (Word, Excel, Outlook) 
·         Excellent written and verbal communication 
·         Ability to handle confidential information 
·         Friendly and professional demeanor 
·         Comfortable working independently and as part of a team 

Working Conditions

This position involves working in an office setting and possible warehouse environment. Candidates should be prepared to adapt to various conditions and have a flexible schedule to accommodate logistics operations. The position generally requires extended periods of sitting at a desk while using a computer and phone. The Logistics Support Specialist may also need to work occasional overtime during peak periods or special events.

Schedule

Monday - Friday 
7:00 am to 4:00 pm 
 
Physical Requirements

The physical requirements for this position include the ability to sit at a desk and work on a computer for extended periods. The Logistics Support Specialist must be able to lift up to 50 pounds when necessary and access all departments within the organization's facilities.
